Who is responsible

Denzil Brown trading as Tile & Grout Repair SW is the controller of the personal information used for this service. Contact denzil@tileandgroutrepair.co.uk or write to 48 Barton Road, Plymouth, PL9 9RQ for privacy questions or requests.

Information we receive

We receive your contact and job-address details, postcode, measurements, service choices, colours, access notes, photographs and messages from you or someone arranging the work with authority. We also receive payment status and transaction references from Stripe, and store the agreed quote, terms version, acceptance time and any separate early-start permissions. Our service providers may handle technical information needed for security and delivery. Do not upload people, identity documents or sensitive information in job photographs.

Why we use it

We use job and contact details to take steps at your request before a contract, prepare a quote and perform the agreed service. We keep required financial records to meet legal obligations. Our legitimate interests include protecting booking links, preventing abuse, handling complaints and retaining proportionate evidence of the work and what was agreed. We balance these interests against your privacy. Marketing or public use of your photographs requires separate permission; accepting booking terms is not marketing consent.

Who helps us provide the service

Sites and Cloudflare host the website and protected records/photos. Stripe processes payments; we do not store full card details. Resend delivers transactional emails and Google Workspace handles business correspondence. Postcodes.io receives the postcode to check location pricing, not the full booking or photographs. Access is limited to what is needed for the service, and information may also be shared with professional advisers or authorities where necessary and lawful. We do not sell your personal information.

Photo assessment

When AI assessment is enabled, OpenAI receives up to three job photographs plus the work description, measurements, tile dimensions and service. Separate contact details, job-address fields, payment details and private upload tokens are excluded from the AI text input. Avoid putting personal information into descriptions or photos. AI helps assess visible condition; it does not reliably measure unscaled photographs or diagnose hidden faults. Measurements remain the pricing reference and uncertainty needs human review. You can contact us to request a manual assessment instead. An estimate is not a confirmed booking or an automated guarantee of suitability.

Where information is handled

Our online providers operate internationally, so information may be handled outside the UK. Applicable UK transfer requirements must be met using adequacy arrangements or appropriate safeguards, such as approved contractual terms, where required. Contact us for information about the arrangements applicable to your data. Provider privacy information is linked below; we remain responsible for our own use of your information.

How long we keep it

Unbooked enquiries and their photos: normally 6 months after the last recorded enquiry activity. Completed-job photos: normally 2 years after completion. Core booking, agreed terms, consent and payment records: normally 6 years after completion or cancellation, and longer where tax obligations or an ongoing dispute require it. Uploads not attached to a submitted enquiry: reviewed for deletion after 24 hours. These are normal review periods, not an automatic deletion promise. We review due records monthly and delete or anonymise what is no longer needed, checking tax requirements, open payments and disputes first. HMRC normally requires self-employed tax records for at least 5 years after the relevant 31 January filing deadline, which can extend beyond the normal six-year booking period. A documented legal or complaint hold can justify keeping only relevant records longer. Email copies, exports and provider-held records must be considered separately; removing a website photo does not remove every external copy.

Your choices and rights

Contact us to request access, correction, erasure, restriction or portability, or to object where the applicable conditions are met. If processing is based on consent, you can withdraw it without affecting earlier lawful use. We may need to verify your identity and will respond within the applicable legal time limits. Rights are not absolute: we may retain information needed for legal obligations or claims and will explain any applicable exception. You can complain to us or to the Information Commissioner’s Office at ico.org.uk/make-a-complaint/.

Information needed for a booking

Contact details, a service address, measurements and suitable photos are needed for the online quote process. Without necessary information we may be unable to quote or confirm the work. Contact us about an alternative assessment if you cannot use the form. Optional access notes should contain only information relevant to the job. Keep your private booking link safe; anyone with a valid customer link may view the job details.

Cookies, marketing and updates

This website does not add advertising or analytics cookies. Essential hosting, payment and sign-in functionality may use cookies under the relevant provider’s arrangements. A booking does not subscribe you to marketing. This notice may change as the service develops; the version acknowledged with a new enquiry is recorded separately from your booking-terms acceptance.
